Cancellations
Once booking confirmation has been received, there is a 7 day 'cooling off' period where the booking can be cancelled, free of charge.
After this cooling off period, cancellations will result in the school being charged the full amount.
If possible, we can try to re-arrange a web-chat, but this has to happen during the same half-term period.
Cancellations within 72 hours of the booking cannot be re-arranged.
'No-shows' will be charged at the full amount. In the event of a no-show, we may attempt to call the school if we can find the details on the internet. If the call is then picked up, we will have to end the call at the previously agreed time, unless the presenter wishes to continue.
Payment
The school will be sent an invoice to the address given on the Booking Form and we ask that schools pay within 2 weeks of receiving this.
Technical Problems
Technical problems have tried to be avoided as much as possible by ensuring that our presenters have an adequate internet connection. We often find that if there are problems, it is usually with schools' internet, not our presenters'. To prevent problems, please ensure that you have a good internet connection in the location where you intend to be in for the web-chat. It is recommended that you connect via ethernet cable rather than rely on Wifi. This offers a much more stable connection and often much faster.
The Web-chat
If we are facilitating the meeting, people will be able to join via a secure link (only people with the link can join). Although our presenters may have the option to remove people from the meeting (e.g. for child protection issues) we may not be able to whilst in the middle of presenting. It should therefore fall to the teacher on the call to make the presenter aware of any issues.
Please ensure that you test your microphone and speakers before the call. Our most common problems are with schools trying to sort out their microphone and/or sound at the start of a call. This can often waste several minutes.
There should be an adult from your school on the call at all times (for child protection).
The web-chat should NOT be recorded, unless express permission has been given beforehand from Virtual School Workshops and the presenter.
